Give each invoice its own number, like INV-2026-001, separate from your Shopify order number. Many countries, especially in the EU, require invoice numbers to follow one unbroken sequence. Set it up once, and the app numbers every new order for you.

Invoice number vs. order number

  • Order number (for example #1030) comes from Shopify. You can't change it here.
  • Invoice number (for example INV-2026-001) comes from the app. You decide how it looks.

Both numbers appear on your invoice.

Set up your invoice number

  1. Go to Settings > Document numbering, then click Set up.
  2. In Applies to, choose All countries.
  3. Decide how your number looks:
    • Prefix: text in front of the number, for example INV-.
    • Variables: add the year, month or day, for example INV-2026-.
    • Number of digits: 3 gives you 001, 002, 003.
    • Next number: the number your next invoice starts from. Coming from another app? Type your last invoice number + 1.
    • Reset counter: leave it on Never, so your numbers keep going up. This is safest for your accountant.
  4. Check Preview. It shows exactly what your next invoice number will look like.
  5. Click Save.

That's it. Every new order now gets an invoice number. Orders placed before you saved don't get one.

Use a separate number for one country (optional)

Some countries want their own sequence. For example, French invoices numbered FA-001, FA-002…

  1. Click Add rule.
  2. In Applies to, choose the country. The app suggests a prefix for you, for example FA- for France.
  3. Click Save.

Orders billed to that country use this rule. All other orders use All countries.

Show the number on your invoice

  1. Go to Document templates and click Edit on your invoice template.
  2. Open Content > Order information.
  3. Make sure Invoice number is ticked, then click Save.

Where you'll see it

  • Orders page: the Invoice number column.
  • Order details: the Notes card.
  • Your PDF invoice, email subject and file name, for example Invoice_INV-2026-001.pdf.

Orders without an invoice number show -.

Change the number of one order

  1. Open the order. In the Notes card, click … and choose Edit invoice number.
  2. Type the new number and click Save.

Only this order changes. Invoices you already sent to customers keep the old number.

The app doesn't check for duplicates here. Make sure the number isn't already used.

FAQ

Why do my older orders show -? Only orders placed after you saved your first rule get a number. You can add one by hand with Edit invoice number.

Can I make Next number smaller? No. Smaller numbers are already used, and invoices can't share a number.

Can I delete a rule? Yes. Click the trash icon on the rule. Invoices that already have a number keep it. If you delete every rule, new orders stop getting invoice numbers.

What if I downgrade below Professional? New orders stop getting invoice numbers. Your rules are kept, and numbering continues when you upgrade again.
